Terms of use

Version 2026-11-04

Please read this before you request a booth or run an event on Boothlock. In short: Boothlock is software for managing booth slot bookings. We are not a party to any deal between vendors and organizers, and we do not hold your booth payments or settle your disputes.

What Boothlock is, and is not

Boothlock is only a software platform that helps organizers publish booth slots, receive vendor requests, track approvals and record payment status.

Boothlock is not the organizer, the vendor, an agent, broker, escrow agent, marketplace operator, bank, payment institution or insurer. We do not run, endorse, inspect or guarantee any event, organizer, vendor or booth.

Any agreement to rent or use a booth is solely between the vendor and the organizer. Boothlock is not a party to it.

We do not hold booth payments

Boothlock does not hold booth payments or pay them out to anyone. Vendors pay through Stripe, a separate and independent payment provider, and the money goes directly to the organizer's own connected Stripe account. Boothlock's only share is its own fee, collected through Stripe. Depending on the event, the vendor pays it at checkout or it is deducted from the organizer's payout.

Boothlock does not set, approve or enforce prices, deposits or refunds. Organizers decide booking amounts, refund amounts and whether to refund. When an organizer uses a refund tool in Boothlock, it passes their instruction to Stripe.

There is one exception. If a payment cannot be matched to an active booking, Boothlock automatically asks Stripe to refund it in full, including Boothlock's fee, without needing the organizer's instruction. This covers a duplicate payment, and a payment that arrives after a request has ended, an approval was undone or the booth went to someone else. Stripe's processing fee may not be returned, in which case the organizer bears it.

Whether and when money is returned depends on the organizer, Stripe and the vendor's bank or card issuer.

Payment problems, chargebacks, fees, holds and account issues are governed by Stripe's own terms. Contact Stripe or the organizer, not Boothlock.

We do not resolve disputes

Disagreements between a vendor and an organizer are theirs to settle. This includes refunds, cancellations, rejected or expired requests, booth size, position or condition, event quality, attendance, no-shows, or anything promised outside Boothlock.

Boothlock does not mediate, arbitrate, investigate or take sides, and in a dispute cannot order a refund, reverse a decision or pay compensation. Raise the matter with the other party directly, with Stripe for payment issues, or with the relevant authority.

Scams, fraud and verification

Boothlock does not verify the identity, business registration, licences, reputation or intentions of any organizer or vendor. A profile, event page, email address, SSM number or social link shown on Boothlock is information supplied by that user, not something we have checked.

Scams and fraud can happen, including fake events, fake organizers, fake vendors, impersonation and payment requests made outside Boothlock. Do your own checks before you pay or commit. Never send money by bank transfer, cash or any route outside the Stripe checkout shown for your booking, and never share one-time codes or passwords with anyone.

To the fullest extent the law allows, Boothlock is not liable for any scam, fraud, misrepresentation, theft, loss or damage caused by an organizer, vendor or other third party. If you think you have been defrauded, report it to the police and your bank or card issuer, and tell us at privacy@boothlock.com so we can act on the account.

Limit of our responsibility

Boothlock is provided "as is" and "as available". We do not promise it will be uninterrupted or error-free, or that notifications, emails or status shown will always be accurate or on time.

To the fullest extent the law allows, Boothlock and its owners and team are not liable for any direct or indirect loss, including lost money, deposits, sales, profit, opportunity or reputation, arising from your use of the platform or from dealings with any organizer, vendor, Stripe or other third party. Where liability cannot be excluded by law, it is limited to the amount of any fee you paid Boothlock in the 12 months before the claim. Nothing here limits rights you have that cannot be limited by Malaysian law.

Your responsibilities

Organizers are responsible for their event, their booth terms, their refund decisions, honouring approved bookings, and complying with any permits, tax and laws that apply.

Vendors are responsible for reading the event rules and policy before they pay, giving accurate information, and checking that the organizer is legitimate.

Vendors can withdraw a request or cancel a reservation in Boothlock until they pay. After payment, apart from the automatic refunds described above, any cancellation or refund is between the vendor and the organizer.

Do not use Boothlock to deceive anyone or to collect money outside the platform's payment flow. We may suspend or remove accounts and events we believe are being misused, without any duty to compensate anyone.

Changes to these terms

When these terms change, the version above changes. Continued use of Boothlock after a change means you accept the updated terms. Questions: privacy@boothlock.com.
